Pre-press Artwork Guidelines

When preparing your artwork for printing, following proper pre-press guidelines is essential to ensure the final product is accurate, high quality, and free from delays or costly errors. Whether you’re printing a book, brochure, flyer, catalog, card deck, or packaging, properly prepared files result in faster production and better visual outcomes. Below are the key pre-press artwork guidelines to help you get started.

Bleed

Bleed refers to the area that extends beyond the trim size of your final printed piece. It ensures that no unprinted edges appear when the product is cut to size. Bleed is critical for designs with background colors, patterns, or images that go all the way to the edge.

We recommend 3mm (0.125 inch) of bleed on all sides. For example, if your book’s trim size is 210mm x 297mm (A4), the final file size should be 216mm x 303mm (including bleed). Always extend background elements into the bleed area, and ensure that no important content (text, logos, etc.) falls outside the trim or into the bleed area.

Margins (Safe Area)

Margins, also known as the safe area, protect important content from being cut off during trimming. Keeping text and key visuals away from the edge prevents accidental loss during binding or trimming.

  • For small printed projects (e.g., flyers, card decks, business cards), we recommend a margin of at least 5mm.

  • For larger projects (e.g., books, catalogs, magazines), a minimum margin of 8-10mm is ideal.

  • For perfect bound books, leave at least 8mm on the binding area to avoid content being lost in the binding.

  • For spiral or wire-o binding, leave at least 12mm on the side where the holes will be drilled.

Staying within these margins ensures readability and a clean, professional look in the finished product.

CMYK and RGB Color Modes

One of the most common issues in printing occurs when files are submitted in RGB color mode instead of CMYK. RGB (Red, Green, Blue) is used for digital screens, while CMYK (Cyan, Magenta, Yellow, Black) is the standard for print production.

Always convert your files to CMYK before submitting them. Files submitted in RGB may result in unexpected color shifts, as some bright RGB colors can’t be accurately reproduced in CMYK.

Adobe software allows easy conversion from RGB to CMYK and also offers proofing tools to simulate print output. It’s always a good idea to request a printed proof for color-critical projects.

Image Resolution

To achieve sharp and clear print results, all images in your artwork must be high resolution. The recommended resolution is at least 300 DPI (dots per inch). Low-resolution images (such as 72 DPI images taken from the web) will appear pixelated and blurry in print.

When designing with photos or illustrations, make sure they are original high-resolution files, not compressed or resized images. Also, avoid enlarging small images, as this degrades quality.

Vector Graphics

Vector graphics are ideal for printing because they are resolution-independent. This means they can be scaled to any size without losing quality, making them perfect for logos, illustrations, and text-heavy designs.

Use Adobe Illustrator or similar vector-based software to create these elements. Save vector artwork in formats like .AI, .EPS, or PDF, and avoid rasterizing them unless absolutely necessary. When using text in vector files, convert fonts to outlines or embed the fonts before submitting, to avoid font issues during printing. Vector graphics ensure crisp lines and accurate shapes, especially for line art, infographics, and logos.

Recommended Graphic Software Programs

Using professional design software ensures your files are print-ready and meet industry standards. We recommend the following graphic software programs:

  • Adobe InDesign: Ideal for layout design, especially for books, magazines, and multi-page documents.

  • Adobe Illustrator: Best for vector graphics, logos, and illustrations.

  • Adobe Photoshop: Suitable for photo editing and raster-based graphics.

Printing File for Cover

Creating a precise and print-ready file for your book or catalog cover is a critical step in the printing process. A well-prepared cover file ensures not only a high-quality print result but also an efficient production workflow. But, unlike interior pages, cover files need more attention, especially when your book includes a spine. Below are the essential guidelines and recommendations for preparing the printing files for different cover types.

Saddle Stitch Book Cover

A saddle stitch book is bound by stapling folded sheets together along the spine, creating a clean and simple finish. When preparing the printing file for a saddle stitch book cover, the design must account for both the front and back covers as a single spread.

If you’re able to prepare the full layout with the front and back covers connected in a single file, this is ideal. It allows us to process your file more efficiently and prevents layout discrepancies. But if you are only able to upload the front and back cover files separately, don’t worry — our prepress team can help you combine them into one complete layout, ensuring proper alignment and bleed consistency.

Make sure the file includes 3mm bleed on all edges, and remember that saddle stitch books don’t have a spine, so the artwork should flow smoothly from back to front without spine space.

Perfect Binding Book Cover

Perfect binding involves gluing the cover to the spine of the book block, so spine thickness becomes a critical factor in the design of your cover file. The final layout must include the back cover, spine, and front cover as one continuous image, accurately reflecting the total width.

To calculate the correct spine thickness, you’ll need to know the following:

  • Total page count( Two pages equal one sheet)

  • Paper type (gloss, matte, or uncoated paper)

  • Paper weight (gsm or lb)

Incorrect spine width can lead to misaligned text, skewed graphics, or a poor binding result, so this element must be accurate.

Hardcover Book Cover

Hardcover book covers are more complex than softcover formats because they involve additional construction components, including:

  • Spine width

  • Front and back cover panels

  • Hinge area (Typically, we recommend an extra 11mm or 0.43 inches of space on both the front and back covers.)

  • Wrapping allowance (20mm bleed area on each side of the background)

Unlike softcover books, hardcover books have printed cover sheets that wrap around rigid boards and are glued in place. This process requires extra margins for folding and positioning, which means your artwork must extend into these areas to avoid white edges and ensure a seamless design.

The hinge space allows the book to open smoothly and must be considered in the layout. Similarly, the wrapping space ensures that the printed paper wraps around the board without cutting off essential design elements.

Dust Jacket Cover

A dust jacket is a detachable cover used for hardcover books. It provides extra visual appeal and marketing real estate, as well as extra protection for the book. The dust jacket layout must include:

  • Front cover

  • Back cover

  • Spine

  • Two inside flaps

The two flaps fold into the inside of the book and are typically used for author bios, book summaries, or promotional content. Standard flap widths typically range from 90mm to 150mm, but this can vary based on your book’s trim size and design needs.

Presentation Folder Cover

Presentation folders are ideal for holding documents, brochures, or promotional materials. The most common sizes for these folders are:

  • 9″ x 12″ (Standard Letter Size)

  • 6″ x 9″ (Smaller Handout Size)

Folders can come in one-pocket or two-pocket designs. The final printing file should include:

  • Front and back panels

  • Pocket flaps (if applicable)

  • Spine or gusset (if folder includes capacity)

  • Die lines or fold guides for cutting and assembly
